Front Office Administrator (Part Time – Hybrid)

Due to continued growth of the business, and to assist us in continuing to provide an exceptional service to our customers and clients, Love Connemara Cottages is seeking to employ a part-time administrator to join our Front Office team.

Initially the role will be office based (training) at our offices in Clifden, Co. Galway, followed by a predominantly work from home role, with the requirement to work from our Clifden offices on occasion, if requested, e.g. for training, events, meetings, front desk cover.

This position is ideally suited to those with hospitality front office / reception/ reservations agent experience.

Love Connemara Cottages is a professional, well established self-catering accommodation marketing agency. We provide marketing services for a large portfolio of self-catering holiday properties throughout the region.

 

Hours: 20 hours per week. Monday – Friday.

Contract: Part-time

Work Location: Hybrid

Commencement: August 2024

Reports to: Office Manager

Salary: €13 – €15 p/h DOE

 

 Requirements:

  • Minimum 2 years’ experience working in an administrative/front office or relevant position. Experience in a similar role/industry is an advantage.
  • A business administration or relevant qualification is preferred.
  • Excellent computer skills.
  • Highly proficient in Microsoft Word, Excel, and Outlook.
  • Knowledge of office management and basic bookkeeping.
  • Ability to multi-task and prioritise workload.
  • Customer service orientated.
  • Be highly organised with a thorough and methodical approach to work.
  • Previous experience of using booking/reservations systems is an advantage.
  • Previous experience of CRM software is an advantage.
  • Problem solving skills.
  • Must have excellent verbal and written communication skills.
  • Excellent written and spoken English is a requirement.
  • The ability to work collaboratively with other staff, managers, and resources.

 

Job Summary:

The administrator will form part of the Front Office team, which is the primary point of contact between the customers and clients, and the company. The Front Office plays a critical role in ensuring customer satisfaction by always providing excellent service to guests and clients of the company.

 

Summary of Key Responsibilities:

  • Accurate and timely administration of reservations.
  • Record and maintain all guest and client records in various online systems. E.g., Booking systems, CRM.
  • Ensure the highest level of customer service at all times
  • Assist the company in maximising sales and with marketing efforts.
  • Communicate with property owners, clients and partners as needed.
  • Adhere to company processes, procedures, policies, work instructions and timelines to ensure the company can work as efficiently as possible.
  • Have great attention to detail, excellent organisational skills, and a thorough and methodical approach to all work.
  • Assist the company to be compliant with General Data Protection Regulation (GDPR)
  • Communicate necessary information and handover notes to relevant departments through internal systems.
  • Work collaboratively with staff, managers, and resources.
  • Carry out any other tasks requested by the company, within the scope of the work of the company.

 

The above list is not exhaustive and additional / alternative tasks may be required from time to time as directed. Although this is primarily a work from home role, there will be occasions where attendance at work will be required in our offices in Clifden, Co Galway.

On behalf of holiday property owners, we are currently seeking cleaners in the following areas:

  • Cleggan/Claddaghduff  
  • Roundstone
  • Ballyconneely
  • Clifden
  • Moyard

 

Duties include:

  • Full changeover of holiday properties, ensuring the highest standards of cleanliness.
  • Ensuring laundry is dropped off and collected from launderette service.
  • Be responsible for reporting any issues or maintenance requirements to the owner/agent.

 

Schedule: 
Weekdays and weekends. Holiday properties offer flexible check-in and check-out days year round.

 

Payment:
Varies from €90 to €250, depending on property size.
